Children's safety comes first. Always.

At Gamewagon, safeguarding isn’t a tick-box exercise — it’s built into how we run every party.

Here’s how we keep children safe, happy, and properly supervised:

DBS Checked Staff

All our team members undergo enhanced DBS checks and are experienced in working with children.

Parents / Responsible Adults always present

A parent or responsible adult must remain on site throughout the party. We don’t take children away or supervise them without parental presence.

Age Appropriate Gaming

Gamewagon is committed to providing age-appropriate gaming experiences.
If you have preferences or restrictions, just let us know.

Note on Fortnite: parents can request Fortnite but if any players in the van are under 12 we must ask them to check with those parents that they are happy with this.

Clear Capacity Limits

We operate strict maximum numbers and age ranges for each party to ensure children are supervised properly and the experience stays safe and enjoyable.

Our gaming parties are designed for children aged 7 and above.

Younger siblings are welcome to step inside the Gamewagon briefly provided:

• they are accompanied at all times by a parent or responsible adult
• they are not counted as part of the party group
• the supervising adult removes them if they become bored, unsettled, or disruptive

This helps us keep the experience safe, enjoyable, and age-appropriate for everyone.

Maximum Party Sizes

• Ages 7-11: 15 max
• Ages 12-17: 10-12 max
• Ages 18+: 8 max

We can accommodate larger groups on the basis that players will be rotated in and out of the gaming bus so as not to exceed the maximum capacity at any one time.

Children with additional needs (SEN)

We’re happy to host children with additional needs and do our best to make every party fun, calm, and inclusive.

If your child has any specific needs, sensitivities, or requires extra support, we ask that you let us know when booking so we can plan appropriately and make small adjustments where possible.

For everyone’s safety and enjoyment, a parent or responsible adult must remain on site at all times, and we may recommend smaller group sizes or particular games depending on the situation.

Safe Equipment and Setup

Our gaming vans and VR setups are regularly inspected and maintained to meet safety standards. We ensure all equipment is safe for children to use.

• Securely installed inside the vehicle
• Checked before every event
• VR Headsets cleaned between uses

Fully Insured

Gamewagon is fully covered by Public Liability Insurance for all events.

Clear Boundaries

Our staff

• Maintain professional boundaries with all children and parents
• Do not share personal contact details
• Do not engage in one-on-one situations without a parent present
